Medical Assistant

Overview The Department of Dermatology at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking an outstanding Medical Assistant to join the team. The Medical Assistant is responsible for assisting physicians and non-physician providers (NPP) with patient care to include triage, charting, procedures, ordering and stocking of dermatology supplies. Responsibilities Triage all incoming patients by taking vital signs such as height, weight, temperature, blood pressure, reconciling medications, reconciling allergies, updating pharmacy, and all other pertinent Meaningful Use objectives (smoking status, race, ethnicity, language), and accurately recording in electronic health record. Scan upcoming appointments for additional medical record information necessary. Obtain medical records from other physician offices, hospitals, labs, emergency rooms, and radiology prior to patient visit. Chaperon and assists providers and NPP with examinations, to include minor surgeries (excisions), minor procedures (biopsies), and treatments (injections, light therapy) requested. Complete order entry in EHR per department protocols and physicians instructions to include: education/instructions, referrals, follow up appointments. Performs phone triage, responding to questions from patients, family members, faculty/residents, other healthcare providers in a timely and professional manner. Document all patient correspondence and attempts in EHR Complete all “tasks” assigned in individual and team boxes. To include: personal task box, Medical Assistance task box, FMH-Clinical task box, Clinical Orders task box. Prepare lab requisition forms, updates lab log book, and verifies receipt of all labs in appropriate time frame as directed by department protocol. Scans all pertinent patient information into EHR following EVMS MG guidelines, and downloads pictures and attaches to patient record. Responsible for entering patient information into iPledge. Maintains clean, well-equipped examination rooms, cleans and sterilizes instruments. Stock examination rooms and triage area with medical supplies, ensuring all supplies are within expiration date. Participate in all staff meetings, education lectures and PCMH/QI improvement activities, and required training provided by EVMS and EVMS MG. Must have working knowledge of computers, including EHRs and Microsoft Office Suite. Possess professional interaction skills with physicians, outside offices, pharmacies, referring agencies, hospital personnel and support staff. Preferred Qualifications: Dermatology experience performing relevant procedures and functions preferred. Ability to balance multiple priorities and tasks. Registered Nurse

Overview The Registered Nurse (RN) in the Dermatology Department delivers comprehensive, patient-centered clinical care in a fast-paced outpatient setting, supporting medical, surgical, and cosmetic dermatology services. This role integrates advanced clinical treatment delivery, care coordination, and patient education while promoting efficient workflows, regulatory compliance, and an exceptional patient experience. Key responsibilities include patient assessment and triage, assisting with dermatologic procedures, administering medications and treatments, and coordinating individualized care plans. The RN provides specialized therapeutic services including phototherapy treatments, excimer laser therapy, and photodynamic therapy (PDT). Additional responsibilities include initiating infusion therapies, coordinating biologic medication programs (including prior authorizations, patient education, and specialty pharmacy collaboration), and monitoring patient outcomes and treatment response. The RN collaborates closely with physicians, advanced practice providers, and interdisciplinary clinical staff to ensure safe, effective, and timely care delivery while supporting continuous quality improvement and optimal patient results. Responsibilities Manage Phototherapy for all patients, including dosing, scheduling, and prior authorizations. Manage PDT and Excimer Laser treatments for all patients, including dosing, scheduling, and prior authorizations. Triage calls (collecting information, providing advice/recommendations and documenting in the patient’s chart). If necessary, going to provider for advice/recommendations. Ensure timely communication of pathology results to patients on behalf of the provider, coordinate appropriate follow-up and surgical care as indicated, and provide clear education and guidance regarding treatment plan Recognize normal versus abnormal results; prepares accurate, readable report of the test; contact physician and/or patient when necessary. Order additional consultations, labs and testing as needed Assist with Biologic Medication Authorizations Responsible for infusion authorizations and scheduling with outside infusion services Provide clinical support to MA’s on floor as needed. Medical Assistant

Overview Full time position for an advanced medical assistant, providing outpatient care for our patients and assisting our physicians in all clinical areas of the practice. Responsible for front and back office procedures. Also assists Physicians and Nurses with medical examination of patients. This position is located at our Princess Anne Office in Virginia Beach. Responsibilities Train and orient new medical assistants. QA Review of patient charts obtaining all pertinent documentation for return and postpartum patients. Updating patient prenatal lab forms for all follow up patients. Schedule outside patient referrals. Maintain/order supplies for the clinic to include weekly checks for expired materials/medications and/or materials close to expiration. Takes vital signs such as height, weight, temperature, and blood pressure. May draw blood and give injections under the immediate supervision of a Physician or RN. Chaperones when appropriate and assists during certain minor surgeries and diagnostic procedures, such as Pap Smears. Maintains clean, well-equipped examination rooms; cleans and sterilizes instruments. Stocks examination rooms and triage area with medical supplies. Inventories and reorders supplies. Document all information in EMR. Prepare education packets. Check EMR tasks daily. Review patient lab results, discuss abnormal findings with the physician and follow up with patient in regard to treatment as necessary PATIENT CONFIDENTIALITY MUST BE MAINTAINED AT ALL TIMES. Also responsible for taking messages, paging doctors when appropriate, handling hospital consults, and answering inquiries. Schedules appointments with doctors, calls patients to remind and confirm appointments; reschedules patients from the bump list, and schedules residents’ clinics where appropriate. Prepares charts for the next day; creates new patient charts, files and pulls charts and checks charts for referrals and authorization prior to visit. Also prepares charge tickets. Greets patients in a courteous manner, completes clinical intake, and notifies nurses/medical assistants/MDs of arrivals. Checks-in and checks-out patients, obtains and writes referrals, when appropriately trained and directed, and schedules outside appointments with specialists. Gives directions to patients and visitors. Maintains order in reception room. Copies medical records. Provides back-up coverage for medical assistant, billing, etc. Assists RNs and LPNs with administrative duties. Handles pick-up and drop off of medications. Phone triage. Performs other duties as assigned, according to the individual departmental needs. Licensed Practical Nurse (LPN)

Overview The Department of Surgery at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking an outstanding LPN to join the team. The Licensed Practical Nurse is responsible for overseeing and assisting with the day-to-day patient care including but not limited to taking vitals, administering meds/treatments, assisting physicians, doing wound care, patient education, documentation, coordinating care, focusing on comfort and supporting quality initiatives, in a fast-paced office. LPN will also assist with training new staff and a point of contact for medical assistants. Responsibilities Triage incoming patients by obtaining vital signs, following standing triage orders, reconcile medication list, reconcile allergies, make sure immunizations are up to date and prepare patients for the visit. Completes delegated tasks from the current and prior day i.e. patient messages, prescription refills, lab results, referrals, home health requests, medication prior authorizations, patient forms, and physician follow-up. All tasks must be reviewed, addressed, and marked appropriately before the closure of each business day. Assist physicians with examinations, minor surgeries, diagnostic procedures and treatments. Provide basic patient care and education as directed by provider and standing orders. Coordinates services with specialists i.e. radiation oncology, pulmonary, endocrinology, nutritional counselling, nephrology, dermatology or social services consultation. Documents all correspondence and interventions in EPIC. Provides patient education and information as instructed by providers and as outlined in the Department’s clinic protocols. Sterilizes equipment and supplies. Filling, faxing and copying as requested. Medical Assistant

Overview This is a full time position for a medical assistant, providing outpatient care for our patients and assisting our physicians in all clinical areas of the practice. Responsibilities Triage of incoming patients by obtaining vital signs, chief complaint, reconcile medication list, reconcile allergies and prepare patient for the visit. Scan upcoming appointments and obtain all pertinent medical records and test relating to the office visit – ED records, CT/MRI reports, operative reports and consult report. Assist physicians with examinations, to include staning in during minor surgeries, diagnostic procedures, and treatments. Provide basic patient care and examinations as directed. Cross train with other clinical staff to schedule diagnostic procedures, i.e.; mammogram, CT scans, ultrasounds, biopsy, set ip minor procedures, complete lab forms, helping with pharmacy Requests, and procedure clinics entering of all data in the Electronic Medical record. Knowledge of office protocols and procedures- post-operative calls, follow-up, missed appointment calls/follow-up, and others per policy. Review and update medications on the list Prepare exam rooms for patient visits, restocking of the clinical area and exam rooms. Sterilize instruments when used and maintain medical equipment.
