Position Objective:

 

The Medical Assistant is responsible for providing both clinical and administrative support to ensure the delivery of safe, high-quality, patient-centered care.  Working under the direction of a Physician, Physician Assistant, or APRN, the Medical Assistant prepares patients for examinations, performs clinical procedures within the scope of practice, assists providers during patient visits, and supports front office operations.  This is a safety-sensitive position that involves direct patient care, medication administration, and other clinical responsibilities requiring accuracy, professionalism, and attention to detail. The MA plays an active role in supporting Medicare Advantage patients within a value-based care model that prioritizes quality outcomes, and preventive care. 

 

Essential Responsibilities:

 

Patient Care:

  • Welcome patients and prepare them for provider examinations by obtaining and documenting patient history, chief complaint, current medications, allergies, medical history, surgical history, family history, social history, preventive care information, and other relevant clinical information in the electronic medical record (EMR).

  • Measure, document, and report vital signs and other clinical observations.

  • Prepare patients and examination rooms for provider visits.

  • Assist providers during examinations, treatments, and in-office procedures.

  • Explain provider instructions, treatment plans, medications, and follow-up care to patients as directed.

  • Provide compassionate, professional service that promotes a positive patient experience.

Clinical Procedures:

  • Administer oral and injectable medications, immunizations, and treatments as directed by the provider and permitted by state regulations.

  • Assist with wound care, dressing changes, bandaging, irrigation of eyes and ears, and other clinical procedures.

  • Initiate and monitor IV infusions when appropriately trained and permitted by state regulations.

  • Perform phlebotomy and prepare specimens for laboratory testing.

  • Perform CLIA-waived laboratory testing in accordance with established procedures.

  • Conduct in-office diagnostic testing, including but not limited to:

    • Electrocardiograms (EKGs)

    • Vision screenings

    • Pulse oximetry

    • Peak flow testing

    • Oxygen administration as ordered

    • Inhalation treatments

    • Spirometry

  • Perform PT/INR testing using approved equipment (CoaguChek/Coag-Sense) and glucose testing using a glucometer.

  • Complete laboratory quality controls and maintain required testing logs.

  • Clean, disinfect, and sterilize reusable instruments and properly dispose of contaminated materials in accordance with infection prevention standards.

Clinical Documentation & Care Coordination:

  • Accurately document patient encounters, treatments, diagnostic results, procedures, supplies utilized, and telephone encounters within the EMR.

  • Complete outbound and inbound patient communications, including:

    • Appointment reminders

    • Medication reminders

    • Transitional Care Management (TCM) — Medicare-supported outreach within 2 days of hospital or facility discharge to reduce readmissions and support safe care transitions

    • Preventive care outreach

    • Support Annual Wellness Visits (AWVs) by preparing Health Risk Assessments (HRAs), updating preventive care records, and ensuring completion of required documentation.

    • Assist in patient outreach, scheduling of preventive screenings, and documentation of completed services.

    • Care coordination activities

  • Maintain patient medical records in accordance with organizational policies and HIPAA requirements.

Administrative & Operational Support:

  • Professionally manage front office responsibilities, including:

    • Answering incoming telephone calls

    • Greeting patients

    • Scheduling appointments

    • Patient registration and check-in/check-out

    • Processing referrals

    • Prescription refill coordination

    • Routing clinical and administrative inquiries

  • Monitor inventory levels of medical supplies, pharmaceuticals, and disposable clinical items, and assist with ordering as needed.

  • Assist with maintaining office and clinical supply inventories.

  • Support onboarding and training of new team members as assigned.

  • Collaborate with providers, clinical staff, and front office personnel to ensure efficient clinic operations.

  • Perform other duties as assigned.

Position Requirements/ Skills:

  • High school diploma or equivalent required.

  • Bilingual Spanish required.
  • Completion of an accredited Medical Assistant program preferred (CMA, RMA, NCMA, CCMA, or equivalent certification).

  • 1+ year(s) of experience as a Medical Assistant in a physician practice, outpatient, or ambulatory care setting preferred.

  • Current CPR/BLS certification required or obtained within organizational guidelines.

  • IV Therapy certification preferred, where permitted by state regulations.

  • Phlebotomy experience preferred.

  • Knowledge of medical terminology, anatomy, physiology, and clinical office procedures.

  • Working knowledge of common medications and disease processes affecting the patient population served.

  • Knowledge of HIPAA, OSHA, infection prevention, and CLIA regulations.

  • Knowledge of medical coding principles preferred.

  • Experience using electronic medical records (EMRs).

  • Proficiency with Google Workspace (Drive, Docs, Sheets, Slides).

  • Excellent customer service and telephone etiquette.

  • Strong organizational, prioritization, and time-management skills.

  • Excellent verbal and written communication skills with the ability to effectively interact with patients, providers, health plans, and internal and external partners.

  • Strong interpersonal skills with a collaborative, team-oriented approach.

  • Critical thinking and sound problem-solving abilities.

  • Ability to maintain confidentiality and appropriately handle sensitive information.

  • Familiarity with Medicare Advantage plan structures, HEDIS quality measures, value-based care principles, and Annual Wellness Visit workflows preferred.

Physical Requirements:

  • Ability to perform a full range of physical activities required in a clinical environment, including assisting with patient positioning and transfers.

  • Frequent standing, walking, bending, kneeling, reaching, pushing, pulling, and repetitive hand movements throughout the workday.

  • Manual dexterity and fine motor skills sufficient to perform clinical procedures, administer medications, collect specimens, and operate medical equipment.

  • Ability to lift, carry, push, or move medical equipment and supplies weighing up to 15 pounds and assist with heavier patient transfers when appropriate.

  • Ability to sit or stand for extended periods based on operational needs.

  • Visual acuity and hearing (with or without reasonable accommodation) sufficient to safely perform essential job functions.

  • Ability to operate standard office equipment, computers, telephones, and clinical devices.

  • Reliable transportation to consistently report to scheduled work locations and shifts.

The incumbent will report to the Office Manager (or similar role) and will provide physician support services while providing positive patient experiences. Responsibilities: Greet and prepare patients for provider examination by obtaining patient history, chief complaint, current medications, medical history, allergies, surgical history, family history, social history, and other preventative medicine reviews, take patients' vitals, and record information in the patient electronic medical record Assist provider with examination, treatments, and procedures as directed Maintain complete and detailed records, electronically in the EMR, of patients’ information Measure and record vital signs and record them in the EMR Accurately and professionally handle all front-desk operations, including answering phones, greeting patients, scheduling appointments, addressing routine inquiries, and triaging calls Maintain patient medical records in accordance with the center's policy Explain treatment procedures, medications, diets, or providers’ instructions to patients Prepare both patient and room for examination Complete patient phone calls including, but not limited to, proactive care coordination, medication reminders, appointment reminders, transitional care management, and complete documentation with telephone encounters accordingly. Provide both patient and provider support during procedures by handing instruments or equipment to the physician as directed Clean and sterilize instruments and equipment after use and dispose of contaminated supplies Perform clinical duties including administration of oral and injectable medications, irrigation of eyes and ears, dresses and bandages wounds and incisions, starts and monitors IV infusion, and assists physicians with any/all procedures as requested Perform in-office diagnostic tests including eye exams, electrocardiograph, administration of oxygen as ordered, pulse oximetry, peak flow, and inhalation treatments. Perform in-office CLIA-waived lab tests Carry out quality controls related to lab equipment and testing, complete and maintain lab-related logs, perform PT/INR utilizing CoaguChek/Coag Sense machine, and perform glucose testing utilizing glucometer Accurately complete electronic medical records to include medical services rendered, test results, and supplies used Monitor disposable inventory and place orders for medical supplies and pharmaceuticals as requested Draw blood and process specimens for send-out Provide patient education as directed by the provider Assist front office tasks by performing additional clerical duties, including patient check-in/out, referrals, prescription medication management, inbound/outbound telephone calls etc. Help maintain an adequate inventory of office medications and medical supplies and orders as needed Assist in onboarding and training new Team Members Assist with inventory and maintaining office supplies Additional duties as assigned Position Requirements/ Skills: High school diploma or equivalent required Completion of Accredited Medical Assistant program, preferred (RMA or CMA) Minimum of 1 year of experience as a Medical Assistant CPR certification, preferred IV Start Certification, preferred Phlebotomy experience, preferred (knowledge of various collection methods and testing, such as bleeding times, collecting donor blood, bedside testing, and preparing specimens) Knowledge of medical coding, preferred Knowledge of HIPPA, preferred Knowledge of OSHA, preferred Working knowledge of common prescription medications that treat conditions and diseases for the the patient population assigned Basic computer skills, including familiarity with electronic medical records Must be able to display excellent telephone and switchboard etiquette Proficient with Google Suite (Drive, Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint) for real-time collaboration Physical Requirements: Full range of body motion, including handling and transferring patients, manual and finger dexterity; including eye-hand coordination Requires standing, walking, pushing, bending, kneeling, and reaching at arm’s length and overhead in a clinic for prolonged periods of time Requires ability to sit or stand for prolonged periods of time Must be able to lift and move patients and medical equipment as needed Requires ability to lift/carry up to 15 lbs Requires corrected vision and hearing to normal range Ability to sit for extended periods of time Ability to operate a computer and telephone Have own means of transportation Key Attributes/ Skills: Has a contagious and positive work ethic, inspires others, and models the behaviors of core values and guiding principles An effective team player who contributes valuable ideas and feedback and can be counted on to meet commitments Is able to work within our Better Health environment by facing tasks and challenges with energy and passion Pursues activities with focus and drive, defines work in terms of success, and can be counted on to complete goals Demonstrated ability to handle data with confidentiality Ability to work cross-functionally with multiple teams; ability to work independently with minimal supervision Excellent organizational, time-management, and multi-tasking skills with strong attention to detail Excellent written and verbal communication skills; must be comfortable communicating with patients, providers, health plans, and internal/external stakeholders Strong interpersonal and presentation skills Strong critical thinking and problem-solving skills Must be results-oriented with a focus on quality execution and delivery Appreciation of cultural diversity and sensitivity toward target patient populations COMPENSATION & BENEFITS We offer a HIGHLY competitive compensation and comprehensive benefits package: Competitive base salary Medical, dental, vision, disability and life 401k, with employer match Paid time off Paid holidays
