Responsibilities:

JOB SUMMARY
The Medical Assistant provides general front and back office support to professional staff. Escorts patients to exam rooms. Maintains clean, neat and well-stocked exam rooms. Must have knowledge of medical front and back office procedures. Provides quality phone service by scheduling patients or referring caller to appropriate party. Answers phone messages from patients promptly. Maintains patient information that is accurate and charts/paperwork are filed correctly. Maintains medical records. Under the direction of a Provider, the Medical Assistant performs a variety of duties in connection with the examination and treatment of patients. May be assigned to a specialist. The MA takes a pro-active approach utilizing available resources to best serve the patient population. Performs a variety of clerical support duties including receptionist, telephone, scheduling, message management and data input. Utilizes knowledge and skill to provide appropriate care in accordance with the organization's policies, procedures and protocols and Arizona validated competencies. The MA works in a team model to improve the patient's experience, create better communication and access to care, and support processes that will improve patient satisfaction.
ESSENTIAL FUNCTIONS
  • Prepares treatment rooms for examination of patients. Escorts the patient to the examining room, obtains a brief history, documents chief complaint takes vital signs to include weight and temperature. Preps the patient for exam, assists the physician/clinician on exams and any special procedures.
  • May travel to off site locations to perform diagnostic testing and assist in physical exam components, TB testing, Injections, phlebotomy and others.
  • May administer and record injections and TB testing under the supervision and order of the physician.
  • Performs venipuncture and obtains specimens, performs CLIA waived lab tests. Performs office procedures including, but not limited to, PFT, UDS, EBT, EKG, fit testing, within the scope of practice as directed by provider.
  • Receives telephone calls from patients, pharmacy and others; documents and relays information to provider for action. Phones pharmacy with approved medication orders/refills.
  • Performs a variety of front office duties as needed, including, but not limited to, reception, telephone, chart maintenance, insurance forms and scheduling.
  • Organize and communicate with insurance companies for authorizations for therapies, testing and specialist referrals. Provides appropriate referrals to case management for employees. Performs other related duties as assigned.

EDUCATION
  • High School Diploma or GED Required
  • Other / Certificate Completion of a MA training program Required

EXPERIENCE
  • 6 months experience as a Medical Assistant Preferred

LICENSE AND CERTIFICATIONS
  • Basic Life Support (BLS) - Certification Required
  • Fingerprint Clearance Card (FPC) - Certificate State Have a current Fingerprint Clearance card, or within seven (7) working days after employment shall apply and be eligible for a Fingerprint Clearance Card (Pediatric Behavioral Health Sites ONLY) Required
  • Completion of an approved training program OR completion of an unapproved training program and successfully passes the medical assistant examination administered by a certifying organization accredited by either the National Commission for Certifying Agencies or the American National Standards Institute as described by the Arizona Administrative Code (Chapter 16 – Arizona Medical Board - R4-16-401 and R4-16-101) OR completes a United States Armed Forces medical services training program Required

SUMMARY Planned Parenthood Arizona (“PPAZ”) services include an emphasis on family planning and reproductive health care, including the provision of birth control and comprehensive contraceptive counseling, testing and treatment of sexually transmitted infections, pregnancy testing, counseling and referral, HIV testing, annual exams, abortion care and more. In addition, PPAZ focuses on providing medically accurate sexuality education and training services throughout the state. The Health Care Assistant is responsible for the performance of front and back office duties in Planned Parenthood Health Centers. Health Care Assistants are not guaranteed work at any particular Health Center. PPAZ reserves the right to move Health Care Assistants to any Health Center, as needed, for business purposes. PPAZ, from time to time, adjusts its Health Center schedules and, therefore, Health Care Assistants may be required to change their weekly work schedule and total hours worked. Participates in health center efforts to achieve established goals for productivity and adheres to affiliate goals and policies on professionalism, wait time in-clinic and on the phone, and the system for addressing client complaints. Participates in health center/affiliate efforts to achieve established revenue cycle goals. GENERAL PRIORITIES Front Office • Front desk reception - greets clients in a professional, friendly manner. Instructs clients how to complete appropriate paperwork. Enters accurate and complete patient information into electronic medical records. Prepares outgoing mail and distribute incoming mail. • Provides general information and patient education including discussing pregnancy options with patients (this includes parenting, adoption, & abortion); provides patients with information on all contraceptive methods including Emergency Contraception. Responsible for knowing and understanding all medical services and programs provided by PPAZ, as well as fees. • Maintains medical records - prepares patient charts with proper forms. Ensures prescription labels are present and product inserts are given. • Billing and cash handling – has a basic understanding of how to operate PPAZ’s Practice Management System in relation to cash handling and end of day closing procedures including running memorized system reports, insurance entry, charge entry (billing) and payment entry under the supervision of the Center Manager. DIRECT RESPONSIBILITIES Back Office • Inventory and maintenance - ensures ample inventory and keep supplies in exam rooms and keeps lab well stocked. Sets up rooms at beginning of clinic and in between patient visits. Cleans rooms between patients and at end of clinic. • Instrument sterilization - maintains the sterilization of all instrument and instrument packs on an ongoing basis. • Patient education - evaluates patient needs for education on an individual basis and provides same as necessary and appropriate. Properly documents all education. • Laboratory testing - measures weight, height, and takes blood pressure. Performs lab tests and veni-puncture within scope of practice approval.
