Job Summary

Summary
The Cancer Center Medical Assistant is responsible for patient care activities that include but are not limited to obtaining vital signs and supporting the oncology care team through document retrieval.

Indirect patient care activities include those that support clinic operations such as ordering and stocking clinical supplies and patient education materials, transporting patients and specimens as needed, and monitoring the environment of care. The position requirements include organizational skills with attention to detail, thoroughness, practical decision-making, excellent communication skills, and a commitment to teamwork.

This position is part of the 1199SEIU Bargaining Unit at Cooley Dickinson Hospital.

This position reports to Practice Manager and operates within established organizational and departmental policies and procedures.

Must be able to effectively interact appropriately to an individual's intellectual level and physical ability. Adult, Geriatric. Does this position require Patient Care? Yes
Essential Functions
-Establish rapport with patients and families from a variety of cultural, ethnic, and religious backgrounds.
-Communicate patient and family difficulties and concerns to appropriate staff.
-Maintain patient safety, privacy, confidentiality, and follow guidelines under HIPAA.
-Provide care based on age-specific needs of patient.
-Involve interpreter services as necessary.
-Greet patients and families promptly in a welcoming and courteous manner.
-Follow CDH policy when treating and greeting patients by verbally confirming patients’ two identifiers.
-Respond promptly and courteously to requests for assistance by patients, families, visitors and staff.
-Provide clear and accurate information.
-Assist patients as needed responding to special needs such as wheelchairs, etc.
-Obtain and record vital signs, pain screen, weights, and heights accurately in appropriate Electronic Medical Record.
-Report changes and/or abnormalities in vital signs, unusual findings, and changes in patient’s condition to the nursing/medical staff in a timely manner.
-Obtain specimens (urine, stool, sputum, etc.) and/or instruct patients/family members in collecting specimens.
-Assist nursing and medical staff with procedures as requested.
-Obtain vital signs before and after each procedure and gathers appropriate paperwork.
-Collaborate with ancillary and medical staff in preparing the patient and family for procedures and treatments through verbal explanation, emotional support, and sharing educational materials.
-Demonstrate proficiency in technical skills, e.g., phlebotomy, (adapting technique as necessary for various age groups) and slide preparation as applicable.
-Perform activities related to efficient clinic operations and patient flow:
-Manage room assignments in order to maintain patient flow.
-Strategize the day’s workload and make recommendations to doctors and others accordingly.
-Have ability to manage walk-in patients and wait times when assigning rooms.
-Partner with MD’s, Nurses and other clinic assistants to discuss assignments room flow.
-Monitor waiting room and inform patients of delays, escort patients to appropriate exam room and or infusion area.
-Transport patients, medical records, specimens, blood components, equipment and supplies in accordance with CDH policy.
-Ensure that all clinical areas have an adequate stock of medical supplies, equipment, and patient education materials.
-Obtain and order supplies and equipment when needed.
-Ensure that supplies are adequate and equipment is in proper working order.
-Monitor for safety, cleanliness, and expiration dates on a daily basis.
-Ensure supplies are fully stocked throughout the day.
-Clean and maintain medical equipment.
-Notify appropriate personnel of equipment, supplies, or patient care areas that require cleaning or repairs.
-Identify patients that require Infection Control precautions and take appropriate steps.
-Inform providers and staff of such patients by monitoring patient assignments.
-Maintain a working knowledge of current computer system used in clinical area and how to access the help desk for work tickets.
-Understand and utilize pager systems including text paging staff.
-Answer phones when coverage is necessary and triage as appropriate.
-Direct patients to appropriate waiting areas, exam rooms, and other patient care areas.
-Work collaboratively and functions as an effective member of the health care team.
-Demonstrate respectful and courteous behavior toward peers, co-workers, and visitors.
-Demonstrate the ability to work collaboratively with peers and coworkers.
-Maintain flexibility in setting and changing priorities.

-Maintain established hospital and departmental policies and procedures, objectives, confidentiality, quality improvement program, compliance, safety, infection control, and environmental standards.
-Maintain professional growth and development through attendance at seminars, workshops, conferences or in-services, professional affiliations, or journals to stay abreast of current trends in field of expertise.
-Meet annual competency and retraining requirements.
-Ensure staff meets annual competency and retraining requirements.
-Attend meetings as required.
-Perform other functions/duties as requested.

Clinical Assistant Duties: Rooming patients, taking accurate vital signs and recording same in EHR, and prepares patient for examination by provider. Assists the Provider during examinations, as directed by provider, as a ‘second pair of hands’. Reinforces provider instructions and education to patient. Gathers medical equipment needed for exam, sets up procedural trays per provider instructions, and properly disposes of used equipment/ linens per CPH policy. Cleans exam table and room after patient exam, per CPH policy. Comfortable with basic medical support procedures as per provider orders, tending to lab work or culture collection as directed and readying for courier pick-up, and properly addressing basic office procedures. Assuring that all medications given on site by nurse or provider have the proper lot number and expiration date entered into EHR, and patient is given written instructions/patient education explaining any medications given per the provider in clinic. Note: It is outside the MA scope of practice to dispense any medications, but recording of lot numbers, etc. paperwork is inside the scope of practice. Schedules medical tests or referrals per provider instructions, either by telephone or computer. The Medical Assistant role offers the opportunity to work in collaboration with the multi-disciplinary care team to ensure smooth patient transitions, maintain accurate medical records and support providers during examinations, testing and procedures. Medical Assistant Responsibilities Include: Patient Intake & History: Room patients for intake, gather vital signs, review histories, document medications, and complete required site-specific screening forms in the Electronic Health Record. Clinical & Provider Support: Prepare treatment rooms, chaperone patients, and assist providers during examinations, testing, and in-office procedures. Orders & Documentation: Implement provider orders and standing protocols, process prescription refills, obtain prior authorizations, and accurately document all data within established timeframes. Procedures: Perform independent procedures as approved by the provider, including EKGs, vision/hearing screenings, and point-of-care testing. Perform phlebotomy and administer immunizations in strict accordance with organization policy. Patient Discharge & Coordination: Review discharge instructions with patients, provide educational resources, process referrals, and schedule follow-up appointments. Qualifications & Skills: High School diploma or GED required CPR-Basic Life Support of Healthcare Provider required from the American Heart Association required This position is part of a career ladder, and the appropriate level will be determined by the organization. MAI - Graduate of an accredited MA program preferred OR demonstrated competencies of MA I (evaluated by hiring manager) with minimum 1 year experience in a medical office. MAII - Graduate of an accredited MA program OR demonstrated competencies of MA II (evaluated by hiring manager for level hiring for) with minimum 3 years’ current relevant medical assistant experience in a medical practice setting. MAIII - Graduate of an accredited MA program with a minimum of 5 years’ current relevant medical assistant experience in a medical practice setting preferred OR demonstrated competencies of MA III (evaluated by hiring manager) with a minimum of 5 years’ current relevant medical assistant experience in a medical practice setting OR minimum of two years as an MA II at a Baystate Health with demonstrated competencies of MA III. MAIV - (Internal career ladder) Minimum of two years as an MA III at Baystate Health with demonstrated competencies for promotion to MA IV.
