Coordinates with multidisciplinary teams to maintain continuity of care and human subject protection with a commitment to research integrity. May perform duties inclusive of those delegated to a Research Nurse Coordinator 1.

Job Description

Primary Duties & Responsibilities:

  • Serves as the dedicated research coordinator embedded within the Structural Heart Team, attending Heart Team/valve conference meetings to present potential candidates and communicate trial eligibility criteria.
  • Partners with structural heart physicians, advanced practice providers, valve clinic coordinators, and imaging staff across CT Surgery and Cardiology to align research visits, procedures, and follow-up with the patient's standard-of-care treatment plan.
  • Communicates proactively with clinical partners regarding protocol requirements, enrollment status, and any deviations between research and routine care pathways, escalating conflicts to the PI for resolution.
  • Educates staff nurses, cath lab/OR teams, and clinic staff caring for research patients on study interventions, required study procedures, and potential adverse events.
  • Works with the research team and Heart Team to identify and screen potential study subjects from valve clinic referrals, Heart Team conference, cath lab schedules, and surgical consults.
  • Conducts eligibility assessments against protocol inclusion/exclusion criteria, coordinating required screening tests (e.g., echocardiography, cardiac CT, catheterization, laboratory studies) with clinical departments.
  • Obtains informed consent, ensuring patients and families understand the trial, randomization (where applicable), study procedures, and alternatives, and documents the consent process per regulatory requirements.
  • Follows enrolled patients through the life of the trial, from screening and index procedure through all protocol-required follow-up visits (e.g., 30-day, 6-month, annual), coordinating visit windows, imaging, and assessments to maximize retention and protocol compliance.
  • Monitors participants for adverse events and clinical changes, communicating findings promptly to the PI and treating clinicians.
  • Ensures protocol requirements are met, including direct contact with research participants, collection of health information, coordination of study-related procedures, source documentation, and data entry.
  • Prepares and submits reportable event reports (e.g., adverse events, serious adverse events, protocol deviations) to sponsors, IRBs, and regulatory agencies in accordance with the study protocol and established policies, procedures, and regulations.
  • Manages day-to-day conduct and oversight of multiple concurrent structural heart trials, demonstrating strong organizational skills, independence, and resourcefulness.
  • Collaborates with sponsor clinical research associates during monitoring visits by providing study documentation, data clarifications, and reports as necessary.
  • Coordinates handling of study devices, administration of clinical trials, collection of source information, and case report form completion, including timely data entry into sponsor EDC systems.
  • Performs other duties incidental to the work described above.

This .80 fte position will be based at our Hugo clinic with potential for coverage at our Roseville or Lino Lakesclinics. This position will work in clinic Monday, Tuesday, Thursday, Friday days (start time between 7:45am – 8:30am and end time between 4:15pm – 5:30pm). This position provides triage support for our clinic at the North Suburban Family Physicians clinics by using protocols embedded in the electronic medical record and a variety of resources including standing orders and protocols. This position also includes occasionally working with patients that have questions or needs once on-site . In addition, this role provides comprehensive assessments to establish and evaluate a plan of care and address changes in a patient’s condition, delegates nursing tasks when appropriate and provides supervision and monitoring of function or activity, creates and implements dynamic teaching plans based upon identified patient need and acts as a resource for other staff.
