Overview

 

Join a highly collaborative pediatric specialty team at Riley Children's Health and make a meaningful impact on the lives of patients and families. We are seeking a Certified Medical Assistant II (MA II) to support our Neurofibromatosis (NF) and Cancer Predisposition programs within Pediatric Hematology/Oncology. This role offers a unique opportunity to develop expertise in a specialized area of pediatric care while working alongside providers, advanced practice providers (APPs), and a supportive multidisciplinary team.

  • Schedule: Monday-Friday, 8:30 AM-5:00 PM
  • No weekends. No IU Health observed holidays.
  • Primarily based at the Riley Outpatient Center
  • Travel approximately once per week to specialty clinics at: 
    • Simon Cancer Center
    • PCC Building
    • Specialty clinics are half-day sessions, with the remainder of the day spent at the Riley Outpatient Center

 

Clinical Responsibilities (Approximately 80%)

  • Prepare exam rooms and clinic spaces for patient visits
  • Participate in daily team huddles with providers and APPs
  • Review schedules and identify patient-specific needs
  • Room patients and obtain: 
    • Vital signs
    • Medication reconciliation
    • PHQ-9 screenings
  • Coordinate lab draws and central line access when needed
  • Communicate patient updates to providers
  • Assist with: 
    • Vaccine administration and coordination
    • Urine collection
    • Lab follow-up
    • Infusion appointment coordination
    • Patient navigation throughout their visit

 

Administrative Responsibilities (Approximately 20%)

  • Support disease-specific teams with follow-up and administrative tasks
  • Participate in weekly office support days
  • Assist with clinic coverage as needed
  • Complete end-of-day stocking and department checklists

 

Required

  • AHA Basic Life Support for healthcare workers certification required. Other advanced life support certifications may be required per unit/department specialty according to patient care policies.
  • High school diploma or equivalent required. Graduation from a Medical Assistant program required.
  • Current certification in medical assisting required from America Association of Medical Assistants (CMA), American Medical Technologists (RMA), National Health Career Association (CCMA), National Center for competency Testing (NCMA), and/or American Medical Certification Association (CMAC).
  • Knowledge of OSHA, CLIA, and ADA required.
  • Knowledge of ICD-10 and CPT coding required.
  • TB validated (to administer or read) or validation obtained within 6 months of hire preferred.
  • Knowledge of Business Unit Quality Programs, Meaningful Use and Standard Work Programs and concepts within 6 months of hire.

CMA-SURGERY SCHEDULER

JOB RESPONSIBILITIES: Schedules surgeries, arranges for appropriate surgical equipment to be available for specific procedures and coordinates this with the Surgery Department. Schedules pre-anesthesia testing and post-op appointments for patients. Ensures consent for surgical procedure has been signed and is on file prior to the procedure. Reschedules surgeries if issues are identified during pre-anesthesia testing time frame. Performs pre-determination of high tech surgical procedures such as bariatric surgery and plastic procedures. Provides pre and post-operative education and instructions including, but not limited to bowel prep instructions, in detail with the patient and patient’s family for both inpatient and outpatient procedures and ensures they have a clear understanding of these instructions. Assigns proper CPT codes for surgical procedures and clearly communicates this information with the prior authorization staff, Surgery Department and Insurance Verification at the hospital. Obtains prior authorization for the procedure. Assists with retro prior authorizations within 72 hours of procedure, if surgical procedure performed differs from the original request. Provides written and verbal communication to multiple affected JMH departments for coordination of care. Works to obtain medical clearance from primary care provider for underlying medical conditions with-in specified timeframes as dictated by JMH policy and arranges appointments for such clearance. Obtains cardiology clearance with patient’s cardiologist, if needed and/or schedules a cardiology appointment for additional testing. Gives clear instructions to patient regarding any medication holds prior to their surgical procedure including, but not limited to blood thinners and documents this information in the patient’s medical record. Maintains, organizes and reviews patient reminder lists and contacts patients to schedule follow-up colonoscopies and upper endoscopies as requested by surgeon. Checks the multi-patient task list daily for any clinical tasks that need to be addressed. Assists physician in exam room with exams, dressing changes, suture/staple and drain removals and assists the physician with minor surgical procedures performed in the office setting. Properly cleans, sterilizes and prepares instruments in packs or individually in preparation for procedures. Maintains cleanliness of Autoclave and runs monthly testing to ensure proper functioning of the sterilizer. Requests medical records from outside entities necessary for the surgeon to make an informed decision regarding the patient’s surgical care. Completes Family Medical Leave Act/Leave of Absence, Short-Term Disability and Long-Term Disability paperwork for patients who are required to be off work due to their surgical procedure and recovery time. JOB RESPONSIBILITIES: Assists physician/provider by rooming patients and documenting signs/symptoms, vital signs and BMI, reviews and documents medical, surgical, and family histories, medications and any other pertinent information the provider needs to make an informed decision regarding the patient’s care and plan of treatment. Performs set-up for procedures and assists provider with procedures. Fields phone calls from patients regarding medical questions, test results, medication refills etc. and communicates effectively with the respective provider regarding the issue and documents appropriately. Faxes and electronically transmits prescription refills to pharmacies as requested by the patient and authorized by the provider. Schedules tests and procedures and obtains prior authorizations for those tests and procedures. Communicates effectively with the operating room staff when scheduling procedures and communicates with other departments regarding tests that are scheduled in that department. Documents appropriately in the patient’s medical record regarding any scheduled tests/procedures. Reviews and explains any preparations and instructions for scheduled tests and procedures. Ensures the patient understands said instructions. Initiates and follows up on cardiac and medical clearances for said tests/procedures. Enters orders into electronic medical record (EMR)system as directed by physician. Faxes or electronically transmits/receives medical records for continuity of care. Completes Family and Medical Leave Act (FMLA) and Short and Long-Term Disability paperwork and coordinates with the Medical Information Department if additional medical records are requested along with said paperwork. Orders medical supplies and medications. Coordinates disposal of bio-hazardous materials with Johnson Memorial Health (JMH) and restocks patient exam rooms. Maintains cleanliness of patient exam rooms and nursing area. Maintains sample medication counts and logs. Works with the Pharmacy Department to properly dispose of expired medications. Performs instrument sterilization and proper maintenance of the autoclave. Coordinates incoming and outgoing referrals. Schedules appointments, completes registrations, scans insurance card(s), photo ID(s) and other pertinent information into the patient’s electronic record. Collects and posts co-payments and ensures that the appropriate insurance referral or authorization is received which allows us to consult and treat the patient for the condition for which they are scheduled. Runs insurance eligibility in Cerner and multiple websites to ensure the patient has active coverage and scans this information into Revenue Cycle system. Performs other related duties as assigned.
