Harmony At Home Senior Care – Plano, TX Full-Time | 40 Hours per Week | On-Site Harmony At Home Senior Care is looking for an experienced Home Care Scheduling Coordinator to join our office team in Plano. This is not an entry-level scheduling position. We are specifically looking for someone who has previous scheduling experience with a home care or home health agency and understands the fast-paced, constantly changing nature of caregiver scheduling. If you have experience managing caregiver schedules, filling open shifts, responding to call-outs, communicating with clients and caregivers, and keeping multiple schedules organized at the same time, we would like to hear from you. Schedule This is a full-time, 40-hour-per-week position working 5 days per week. We offer flexibility in which five days make up your regular schedule; however, applicants must be available to work: Mondays Fridays At least one weekend day each week Your regular workweek will be discussed and selected during the interview process. Once hired, your agreed-upon schedule will become your regular set schedule. This position is ideal for someone who appreciates having some flexibility in selecting their workweek while still maintaining a consistent, predictable schedule. What You'll Be Doing As a Scheduling Coordinator, you will play an important role in making sure our clients receive reliable care and our caregivers have clear, well-managed schedules. Responsibilities include: Managing and maintaining caregiver and client schedules Filling open shifts and responding to scheduling changes Handling caregiver call-outs, lateness and coverage needs Matching caregivers with clients based on availability, location, skills, reliability and client needs Communicating schedule assignments and changes with caregivers Communicating with clients and families regarding coverage and scheduling Reviewing caregiver availability and building schedules that maximize consistency Identifying potential scheduling problems before they result in uncovered shifts Coordinating last-minute coverage when unexpected changes occur Monitoring schedules throughout the day and following up on attendance concerns Working closely with management and other office team members to maintain continuity of care Documenting scheduling communication and important changes accurately Required Experience Previous scheduling experience with a home care or home health agency is required. We are specifically seeking applicants who already understand the unique challenges of scheduling field caregivers for clients receiving care in their homes. Applicants should have experience with: Caregiver or healthcare staff scheduling Managing multiple employee schedules simultaneously Filling call-outs and last-minute openings Communicating professionally with caregivers, clients and families Managing frequent schedule changes without losing organization Working with scheduling software or electronic scheduling systems Prioritizing urgent staffing needs while continuing to manage routine responsibilities Applicants without previous home care or home health agency scheduling experience will not be considered for this position. The right person needs to be able to look at the entire schedule, recognize problems, communicate effectively and find solutions quickly. PLEASE READ BEFORE APPLYING — THIS IS A HYBRID POSITION Your normal workday will begin in our Plano office , where you will help our team with basic administrative, organizational, and office support tasks. However, you are also part of our caregiver coverage team. If we have a caregiver call out, an uncovered client visit, or another staffing need during your scheduled hours, you may be sent from the office to the client's home to provide care instead of completing your office duties that day. For example: Normal Day: Report to the office at 8:00 AM → assist with phones, paperwork, organizing, projects, etc. → leave at 1:00 PM. Coverage Day: Report to the office at 8:00 AM → office receives a caregiver call-out → you are assigned to the client → leave the office and provide caregiving services for the remainder of the assigned visit.
