Responsibilities Reports To: Office Manager Position Objective: The Regional Medical Assistant (MA) Float is responsible for providing both clinical and administrative support across multiple clinic locations to ensure the delivery of safe, high-quality, patient-centered care. Working under the direction of a Physician, Physician Assistant, or APRN, the Regional MA Float prepares patients for examinations, performs clinical procedures within the scope of practice, assists providers during patient visits, and supports front office operations. This is a safety-sensitive position that involves direct patient care, medication administration, and other clinical responsibilities requiring accuracy, professionalism, and attention to detail. The Regional MA Float plays an active role in supporting Medicare Advantage patients within a value-based care model that prioritizes preventive care. The Regional MA Float will travel within their region providing physician support services while ensuring a positive patient experience at every clinic location. Essential Responsibilities: Patient Care: Welcome patients and prepare them for provider examinations by obtaining and documenting patient history, chief complaint, current medications, allergies, medical history, surgical history, family history, social history, preventive care information, and other relevant clinical information in the electronic medical record (EMR). Measure, document, and report vital signs and other clinical observations. Prepare patients and examination rooms for provider visits. Assist providers during examinations, treatments, and in-office procedures. Explain provider instructions, treatment plans, medications, and follow-up care to patients as directed. Provide compassionate, professional service that promotes a positive patient experience. Clinical Procedures: Administer oral and injectable medications, immunizations, and treatments as directed by the provider and permitted by state regulations. Assist with wound care, dressing changes, bandaging, irrigation of eyes and ears, and other clinical procedures. Initiate and monitor IV infusions when appropriately trained and permitted by state regulations. Perform phlebotomy and prepare specimens for laboratory testing. Perform CLIA-waived laboratory testing in accordance with established procedures. Conduct in-office diagnostic testing, including but not limited to: Electrocardiograms (EKGs) Vision screenings Pulse oximetry Peak flow testing Oxygen administration as ordered Inhalation treatments Spirometry Perform PT/INR testing using approved equipment (CoaguChek/Coag-Sense) and glucose testing using a glucometer. Complete laboratory quality controls and maintain required testing logs. Clean, disinfect, and sterilize reusable instruments and properly dispose of contaminated materials in accordance with infection prevention standards. Clinical Documentation & Care Coordination: Accurately document patient encounters, treatments, diagnostic results, procedures, supplies utilized, and telephone encounters within the EMR. Complete outbound and inbound patient communications, including: Appointment reminders Medication reminders Transitional Care Management (TCM) — Medicare-supported outreach within 2 days of hospital or facility discharge to reduce readmissions and support safe care transitions Preventive care outreach Support Annual Wellness Visits (AWVs) by preparing Health Risk Assessments (HRAs), updating preventive care records, and ensuring completion of required documentation. Assist in patient outreach, scheduling of preventive screenings, and documentation of completed services. Care coordination activities Maintain patient medical records in accordance with organizational policies and HIPAA requirements. Administrative & Operational Support: Professionally manage front office responsibilities, including: Answering incoming telephone calls Greeting patients Scheduling appointments Patient registration and check-in/check-out Processing referrals Prescription refill coordination Routing clinical and administrative inquiries Monitor inventory levels of medical supplies, pharmaceuticals, and disposable clinical items, and assist with ordering as needed. Assist with maintaining office and clinical supply inventories. Support onboarding and training of new team members as assigned. Collaborate with providers, clinical staff, and front office personnel to ensure efficient clinic operations. Perform other duties as assigned. Regional Travel & Staff Development: Assist in onboarding and training new team members across assigned clinic locations. Travel within the assigned region to provide clinical support across multiple VIPcare clinic locations; regional travel is expected approximately 85% of the time. Adapt quickly to varying clinic workflows, team dynamics, and operational needs across locations while maintaining consistent patient care standards. Position Requirements/ Skills: High school diploma or equivalent required. Completion of an accredited Medical Assistant program preferred (CMA, RMA, NCMA, CCMA, or equivalent certification). 1+ year(s) of experience as a Medical Assistant in a physician practice, outpatient, or ambulatory care setting preferred. Current CPR/BLS certification required or obtained within organizational guidelines. IV Therapy certification preferred, where permitted by state regulations. Phlebotomy experience preferred. Knowledge of medical terminology, anatomy, physiology, and clinical office procedures. Working knowledge of common medications and disease processes affecting the patient population served. Knowledge of HIPAA, OSHA, infection prevention, and CLIA regulations. Knowledge of medical coding principles preferred. Experience using electronic medical records (EMRs). Proficiency with Google Workspace (Drive, Docs, Sheets, Slides). Excellent customer service and telephone etiquette. Strong organizational, prioritization, and time-management skills. Excellent verbal and written communication skills with the ability to effectively interact with patients, providers, health plans, and internal and external partners. Job Summary: The Office Health Assistant, Acute Care (OHA) facilitates the daily operations of their assigned clinic while working as a member of a multi-disciplinary team. HIPAA Requirements The Office Health Assistant will have access to PHI in the course of carrying their duties such as to schedule and register patients, check and update insurance coverage and demographic information, and perform medical assistant tasks. Applying the minimum necessary standard of HIPAA, the designated records sets to which this employee will have access include: patient demographics and account information, encounter forms, user batch reports and payment posting reports, the patient information section of the medical records, the HIPAA section, recent progress notes (as needed to answer scheduling questions), and the problem list/immunization record (to provide copies to patients up their request).
