Overview

Medical Assistant Training Program – Now Accepting Candidates  

The IU Health Medical Assistant Trainee Program will be holding its next cohort from January 11th-March 13th. The goal of this program is to train new Medical Assistants (MAs) for employment at IU Health and reinforce its values and expectations. IU Health supports team member growth by covering program tuition and providing dedicated time to complete training.

Schedule Requirements  

  • No time off request granted during January 11th - March 19th (unless an emergency) due to the advanced course curriculum.    
  • Candidate able and willing to work M-F 40 hours a week. Schedules will vary based on clinical sites and could be between these hours of 7:30am-5:00pm.  
  • Candidate able to commute to Indianapolis once a week for 7 weeks 8:00am-4:30pm.  
  • Candidate to be able and willing to work around biohazardous specimens and body fluids.  
  • Candidate to be able to dedicate 10-20 additional hours per week for assignments, modules, reading, and studying.  
  • Candidate to be able and willing to perform CPR.  
  • Able to meet technical and technology (computer, internet, camera, microphone) requirements for the program. TABLETS WILL NOT WORK and are NOT acceptable.Tablets do not run the programs you will use for the program.  
  • If selected, you will be required to work as a full-time MA at IUH for one year following the program. If this is not fulfilled, you will be required to pay $5,000.

As a Medical Assistant Trainee, you will complete the Medical Assistant Education Program that includes 140 hours minimum of in-person & online classes, online modules, weekly quizzes or assessments, in-person simulation instruction, check offs and 160 hours minimum of supervised, clinical practicum. Experience and gain knowledge in the following areas: Anatomy and Physiology, Infection Control, Vital signs, Medication Administration, Billing and Coding, and Clinical procedures. At the completion of the courses, a national certification exam will need to be passed in order to become a Certified Medical Assistant. Once all requirements are achieved, the trainee will graduate and be able to transfer to an open MAII position within IU Health.

  • High School Diploma/GED is required.
  • Requires 0-3 years of relevant experience.
  • Be at least 18 years of age by the start of the program.
  • Requires basic proficiency in MS Office (Word, Powerpoint, Excel, Teams).
  • Meet the technical and physical standards.
  • Basic Life Support certification through the American Heart Association is required.

CMA-SURGERY SCHEDULER

JOB RESPONSIBILITIES: Schedules surgeries, arranges for appropriate surgical equipment to be available for specific procedures and coordinates this with the Surgery Department. Schedules pre-anesthesia testing and post-op appointments for patients. Ensures consent for surgical procedure has been signed and is on file prior to the procedure. Reschedules surgeries if issues are identified during pre-anesthesia testing time frame. Performs pre-determination of high tech surgical procedures such as bariatric surgery and plastic procedures. Provides pre and post-operative education and instructions including, but not limited to bowel prep instructions, in detail with the patient and patient’s family for both inpatient and outpatient procedures and ensures they have a clear understanding of these instructions. Assigns proper CPT codes for surgical procedures and clearly communicates this information with the prior authorization staff, Surgery Department and Insurance Verification at the hospital. Obtains prior authorization for the procedure. Assists with retro prior authorizations within 72 hours of procedure, if surgical procedure performed differs from the original request. Provides written and verbal communication to multiple affected JMH departments for coordination of care. Works to obtain medical clearance from primary care provider for underlying medical conditions with-in specified timeframes as dictated by JMH policy and arranges appointments for such clearance. Obtains cardiology clearance with patient’s cardiologist, if needed and/or schedules a cardiology appointment for additional testing. Gives clear instructions to patient regarding any medication holds prior to their surgical procedure including, but not limited to blood thinners and documents this information in the patient’s medical record. Maintains, organizes and reviews patient reminder lists and contacts patients to schedule follow-up colonoscopies and upper endoscopies as requested by surgeon. Checks the multi-patient task list daily for any clinical tasks that need to be addressed. Assists physician in exam room with exams, dressing changes, suture/staple and drain removals and assists the physician with minor surgical procedures performed in the office setting. Properly cleans, sterilizes and prepares instruments in packs or individually in preparation for procedures. Maintains cleanliness of Autoclave and runs monthly testing to ensure proper functioning of the sterilizer. Requests medical records from outside entities necessary for the surgeon to make an informed decision regarding the patient’s surgical care. Completes Family Medical Leave Act/Leave of Absence, Short-Term Disability and Long-Term Disability paperwork for patients who are required to be off work due to their surgical procedure and recovery time. Performs dressing changes, suture/staple removal, cast removal, DME fittings, prepares injections and obtains prior authorizations for medication. Fields phone calls from patients regarding medical questions, test results, medication refills etc. and communicates effectively with the respective provider regarding the issue and documents appropriately. Faxes and electronically transmits prescription refills to pharmacies as requested by the patient and authorized by the provider. Schedules tests and procedures and obtains prior authorizations for those tests and procedures. Communicates effectively with the operating room staff when scheduling procedures and communicates with other departments regarding tests that are scheduled in that department. Documents appropriately in the patient’s medical record regarding any scheduled tests/procedures. Reviews and explains any preparations and instructions for scheduled tests and procedures. Ensures the patient understands said instructions. Initiates and follows up on cardiac and medical clearances for said tests/procedures. Prepares patient medical records for upcoming appointments to ensure all test results and/or outside records are obtained and ready for provider to review prior to the patient’s arrival for their scheduled appointment. Enters orders into electronic medical record (EMR)system as directed by physician. Faxes or electronically transmits/receives medical records for continuity of care. Completes Family and Medical Leave Act (FMLA) and Short and Long-Term Disability paperwork and coordinates with the Medical Information Department if additional medical records are requested along with said paperwork. Orders medical supplies and medications. Coordinates disposal of bio-hazardous materials with Johnson Memorial Health (JMH) and restocks patient exam rooms. Maintains cleanliness of patient exam rooms and nursing area. Maintains sample medication counts and logs. Works with the Pharmacy Department to properly dispose of expired medications. Performs instrument sterilization and proper maintenance of the autoclave. Coordinates incoming and outgoing referrals. Schedules appointments, completes registrations, scans insurance card(s), photo ID(s) and other pertinent information into the patient’s electronic record.
