Job Summary JOB DESCRIPTION Under supervision of the Nurse Manager, guided by policies and procedures of the Ambulatory Services, the Hospital Assistant III assists in the delivery of care to patients being seen in the practice. They will perform assigned patient care procedures in support of the care services provided to patients within the practice. They are required to adhere to the Telephone and House Standards as adopted by the department. The assistant also assists with front and back office responsibilities, which include scheduling, pre-registering, verifying insurance, obtaining referrals and authorizations and coordination of required medical and financial information. They work as a team member with other staff and consistently projects a professional, caring and courteous demeanor. The Hospital Assistant III is responsible for the efficient patient flow and provides support to multiple physicians. They communicate with referring physicians’ offices,and serves a liaison for the outside providers. They are responsible for insurance authorizations and pharmacy refills, as well as complicated treatment authorizations and hospital admission arrangements. The MA must have flexibility to cover multiple UCSF Health center clinics. Responsibilities DUTIES & ESSENTIAL JOB FUNCTIONS % of time Essential Function (Yes/No ) Key Responsibilities (To be completed by Supervisor) 80 YES Monitors patient flow in and out of the clinic. Obtains patient’s vital signs, height, weight, pain screening, and documentation of chief complaints, and may room the patient. Utilizes ApeX for documentation within the scope of practice of an Medical Assistant YES Assists nurses and providers in preparation for exam and/or equipment (i.e. biopsy/PAP) YES Updates HCM banner. Carries out orders, hands AVS, schedules follow up and discharges patients. Obtains specimens and performs simple Point of Care Testing as directed. Testing as directed. Including QA/QC and EKGs. Upon successful completion of UCSF specific medication administration test, training, modules and observations, HA II can administer injectable vaccines after verification of medication and dose with provider immediately prior to vaccine administration Complies with all Ambulatory Services and Medical Center policies and procedures for infection control, safety, administrative and clinical practice. Complies with activities mandated by TJC/Title 22 Transports patients as directed and ensures their safety Documents use of interpreter as appropriate. Work with interpreting services to facilitate interpreter participation for medical appointments in person, by video or by phone. Obtains specimens and performs simple Point of Care Testing as directed. Testing as directed. Including QA/QC and EKGs. Utilizes ambulatory non-provider protocols to order and sign POCTs. Participates in updating mandatory logs (i.e.: temperature log, disaster cabinet log, crash cart log) Performs clinical activities in an accurate and timely manner Assists with procedures as needed for the department specialty and determined by the l Manager or Director Performs in basket functions identified as area of responsibility related to patient’s messages, labs, authorizations and other tasks Acts as chaperone as needed for medical providers. Notifies providers of patient delays and service issues. Advocates for patients by helping facilitate provider punctuality. Communicates provider delays to front office team and assists patients with issues and complaints utilizing conflict management skills. Shares pertinent information and observations with other health team members. Other duties as assigned such as completing referrals to other providers as ordered by the physician, obtaining authorizations from insurers for medications, and assisting the physician staff in writing and sending out patient communication Maintains clean, well-stocked exam rooms. Current American Heart Association CPR Certification Minimum of 1 year of recent experience working in a busy health care environment. Familiarity with insurance verification and authorizations Ability to sit at a computer terminal for extended periods of time, with no restrictions for keyboarding. Strong computer skills, including basic keyboarding skills, and experience and ability to work effectively in Word and Excel. Ability to prioritize and work efficiently with multiple forms of patient & provider communication including email, fax and phone system. Excellent organizational and problem-solving skills.
