The RN Operating Room Scheduler is a licensed registered nurse who coordinates and manages surgical scheduling for inpatient, outpatient, and ambulatory procedures. This role ensures timely, accurate, and efficient scheduling while maintaining compliance with clinical protocols and patient safety standards. The RN leverages clinical judgment and critical thinking to optimize surgical workflows and enhance communication between clinic schedulers, providers, and surgical teams. Essential Job Statements Review patient charts and clinical documentation to assess readiness and appropriateness for surgery. Schedule inpatient, outpatient, and ambulatory surgical procedures based on physician orders, patient condition, and operating room availability. Ensure alignment with clinical protocols, resource capacity, and patient safety standards. Proactively identify surgical cases appropriate for robotic-assisted procedures by reviewing patient charts, surgeon preferences, and clinical criteria. Collaborate with surgical teams to coordinate available robotic block time, ensuring optimal utilization of robotic systems. Balance scheduling needs between robotic and non-robotic cases to maximize operating room efficiency, reduce downtime, and support strategic growth in minimally invasive surgical services. Establish and maintain strong working relationships with surgeons, anesthesiologists, perioperative nurses, and administrative staff to ensure seamless coordination of surgical logistics. Act as a central point of communication to align scheduling priorities, anticipate resource needs, and resolve conflicts. Collaborate closely with surgical teams to understand their preferences and procedural patterns, enabling strategic optimization of block time and improved operating room utilization. Manage cancellations, reschedules, and urgent add-ons while notifying all affected parties promptly. Backfill with appropriate patients and procedures. Assist in the orientation and ongoing training of new and existing scheduling staff, ensuring familiarity with surgical protocols, scheduling systems, and departmental workflows. Share clinical insights to enhance team understanding of procedure requirements, patient preparation, and interdepartmental coordination. Participate in process improvement initiatives and help identify training needs to promote efficiency, accuracy, and professional growth within the scheduling team. Support the Scheduling and Optimization Manager in the development, review, and revision of scheduling policies and procedures to ensure alignment with clinical standards, regulatory requirements, and operational goals. Provide frontline insights to help shape best practices for surgical scheduling, block utilization, patient preparation, and interdepartmental coordination. Collaborate with nursing leadership and surgical services to identify gaps, recommend improvements, and support implementation of updated protocols. Collect, review, and analyze scheduling data to identify trends, inefficiencies, and opportunities for improvement in surgical operations. Monitor key performance indicators such as block utilization, first-case on-time starts, cancellation rates, and case volume distribution. Use data insights to support decision-making, optimize scheduling practices, and contribute to strategic planning initiatives. Collaborate with perioperative leadership to present findings and recommend actionable solutions that enhance patient flow, resource allocation, and overall surgical throughput. The responsibilities of this job include, but are not limited to the following: Locating patients, obtaining accurate vital signs by visual and auditory measures, triaging patients, assessing patients’ medical condition, and preparing patients for physicals and medical treatment by Physicians and Nurses; Understanding and using the electronic medical record system; Ordering lab, x-ray, and medical supplies as directed; Notifying the Nurse and/or Physician when the patient is ready for exam while communicating symptoms and relaying questions about lab or x-ray needs; Assisting Nurses and Physicians with various forms of patient treatment and care; Handling Physician and Nurse requests with respect and in a timely manner; Performing lab duties as assigned; Performing phlebotomy procedures; Sterilizing and setting up instruments; Receiving and storing supplies; restocking treatment rooms as needed; Reporting to the Charge Nurse before leaving at the end of the shift; Following ancillary guidelines as deemed necessary by the Charge Nurse, Nurse Supervisor, DMS, and Physician; Adhering to established policies and procedures; Maintaining cleanliness of the treatment area and completing biological cleanup in accordance with OSHA guidelines and other maintenance assignments as directed; Washing, drying, folding, and restocking laundry; maintaining the cleanliness of the washing machine and dryer lint trap; Attending staff meetings as scheduled by the Nurse Supervisor or DMS; Operating, using, and maintaining medical and office equipment as trained; Completing assigned checklists and Policy Manager tasks within the assigned shift; Being available to assist as needed, as breaks and mealtimes may be interrupted at any time to provide necessary patient care or to maintain center operations; Fostering teamwork and ensuring a positive and professional atmosphere; Providing positive, warm, and friendly service in all interactions; Understanding and performing all duties as assigned. The Surgery Trauma Progressive Care Unit is the primary unit for trauma patients at VCU. We are the only Level I Trauma Center in the Richmond area certified by the American College of Surgeons. Our patients have sustained complex traumatic injuries such as gunshot wounds, motor vehicle accidents, falls, and assaults. Licensure, Certification, or Registration Requirements for Hire: Clin I, Clin II, Clin III: Current RN licensure in Virginia or eligible or compact state Licensure, Certification, or Registration Requirements for continued employment: Clin I, Clin II, Clin III: Current RN licensure in Virginia, AHA BLS HCP Certification or equivalent Experience REQUIRED: Clin I: N/A Clin II: 12 to 24 months RN experience Clin III: 3 years of clinical experience Experience PREFERRED: Clin I: Experience as an LPN, nursing assistant or care partner in either an acute care setting or as applicable to area of practice Clin II, Clin III: Academic Health Care Experience; Experience with similar patient population in either an acute care setting or as applicable to area of practice Education/training REQUIRED: Clin I, Clin II, Clin III: Diploma or Associates Degree from a professional nursing program recognized and/or approved by the corresponding state’s Board of Nursing. All registered nurses without a Bachelor's degree in Nursing (or higher) will be required to enroll in an approved RN to BSN program within two years of their start date and to complete the program within five years of their start date unless grandfathered under previous requirements. Education/training PREFERRED: Clin I, Clin II, Clin III: Completion of a Bachelor’s Degree in Nursing (or higher) from an accredited program Clin III: Certification in specialty area Independent action(s) required: Follows documented physician/licensed independent provider orders. Practices within the boundaries of the regulations governing the practice of nursing in the Commonwealth of Virginia. Practice is guided by the ANA Code of Ethics for Nursing and established national nursing practice standards. All practice is guided by and follows the VCUHS policies and procedures and established practice. Supervisory responsibilities (if applicable): Clin I, Clin II, Clin III: Organizes work and delegates and supervises others (RN's, LPN's, Care Partners, Unit Secretaries, etc.) in carrying out assignments. Additional position requirements: Clin I, Clin II, Clin III: Clinicians work all three shifts, weekends and holidays. Individual shift rotation and schedules will be established with your specific Nurse Manager/Practice Manager. Schedules, including requirements of shift rotations and hours of work may be adjusted as necessary to meet unit requirements and/or as needed.
