Position manages workload distribution and prioritization of tasks. Responsible for front-line communication with staff to receive and provide feedback regarding quality and productivity. Position may perform staff work in assigned areas of responsibility when not conducting coordinator function. Responsibilities: Supervise and direct the office’s front-line clinical and clerical staff. Participate in interviewing, hiring, training, progressive discipline, dismissals, and performance appraisals. Oversee and direct day to day office operations within budget guidelines. Assist with managing providers’ schedules with templates and optimize patient care hours to enhance productivity. Schedule staff and allocate resources across hours of operation to maximize patient access and satisfaction, provider productivity and efficiency, and staff productivity. Conduct timely and accurate cash management duties, including overseeing the collection of co-pays and patient balances, in-house cash balances, and bank deposits. Ensure that service excellence is delivered and perform service recovery whenever necessary. Manage office and medical surgical supplies within budget Ensure accuracy of all data collection and data entry by site staff through training and compliance monitoring and facilitate and oversee flow of information to and from central administrative offices. Conduct office staff meetings on a regular basis. Attend and actively participate in manager/supervisor meetings. Ensure that patient dignity and confidentiality are maintained at all times. Additional Functions Review and approve automated time reports for accuracy. Develop tools to support staff and enhance efficiency. Provide input into staff performance reviews. May participate with manager in conducting staff performance reviews. Provide one to one coaching and mentoring. Plan, execute and resolve all routine technical needs of the practice (phone, copiers, fax machines, PCs, etc) Monitor daily transaction activity to ensure compliance with procedures. Resolve complex or critical situations involving patients, staff and customers: consults with manager for guidance as needed (e.g., complaints, discipline, etc.). Schedule staff and allocate resources across hours of operation to maximize patient access and satisfaction, provider productivity and efficiency, staff productivity, cost-savings, and operational efficiencies. Develop and implement policies and procedures as needed to support the practice. Complete other duties as assigned. Qualifications Required: Bachelors degree or equivalent work experience Minimum of three years work experience in a medical or related business Comprehension of insurance plans including HMO,PPO, POS, commercial, Medicare, Medicaid Solid understanding of patient flow in a medical office Leadership experience Working knowledge of medical software, Word and Excel Experience managing daily cash activity and reconciling income reports with daily payments. Extracorporeal membrane oxygenation (ECMO) can be provided for up to three infants at a time by a special group of ECMO specialists who supplement the NICU nursing staff. Required Qualifications: Graduate of an NLN accredited School of Nursing. Associate Degree in Nursing; BSN degree or higher preferred. Associate Degree Nurses are required to enroll in a BSN program within six (6) to nine (9) months of hire, and make progress toward and complete their BSN degree within 30 months. ADN nurses receive 100% tuition reimbursement towards a BSN degree from an accredited program. The DON ensures that residents receive appropriate personal care, health supervision, and assistance in a manner that promotes dignity, safety, and well-being, consistent with the facility’s mission and philosophy of care. Essential Duties and Responsibilities Leadership & Administration Plan, organize, and direct the overall operations of the nursing and personal care services department. Develop, implement, and maintain policies and procedures for resident care services in compliance with IDPH Sheltered Care Facility regulations. Participate as a member of the facility’s leadership team in strategic planning, quality assurance, and risk management activities. Maintain compliance with all local, state, and federal regulations applicable to sheltered care. Resident Care Oversight Ensure that each resident’s health status is assessed upon admission and monitored regularly. Oversee the development and implementation of individualized service plans (ISPs) that meet residents’ personal and health care needs. Coordinate with residents’ physicians and other healthcare providers to ensure appropriate medical oversight and interventions as needed. Supervise medication administration and storage according to IDPH requirements. Staff Management Recruit, train, and supervise nursing and personal care staff, including Licensed Practical Nurses (LPNs), Certified Nursing Assistants (CNAs), and Personal Care Aides. Schedule and assign staff to ensure appropriate coverage for all shifts. Evaluate staff performance, provide coaching, and enforce standards of care and conduct. Ensure that nursing personnel are properly licensed and trained in emergency procedures, infection control, and resident rights. Quality Assurance & Compliance Conduct routine audits of resident records, medication administration, and care delivery. Monitor and report incidents, infections, and changes in resident condition to the Administrator and/or attending physician as required. Serve as liaison with IDPH surveyors and ensure readiness for inspections and audits. Lead the facility’s Quality Assurance and Performance Improvement (QAPI) initiatives. Resident & Family Relations Promote open communication with residents and families regarding care plans, progress, and concerns. Address and resolve complaints or grievances related to nursing or personal care services. Participate in resident care conferences and interdisciplinary meetings. Qualifications Required: Current Illinois Registered Nurse (RN) license in good standing. Minimum of two (2) years of experience in a long-term care, assisted living, or sheltered care setting. Demonstrated leadership and supervisory experience in healthcare. Strong knowledge of IDPH Sheltered Care Facility regulations (77 Ill. Adm. Code 330) and relevant long-term care standards. Preferred: Bachelor of Science in Nursing (BSN) or higher. Experience working with older adults and individuals requiring personal care rather than skilled nursing. Knowledge of quality improvement programs and survey processes.
